Open Ledger Properties ("we," "us") manages residential and commercial property in Los Angeles County. This policy explains what information we collect through our website at openledger.properties and our owner portal, how we use it, and the choices you have.
Information we collect
When you contact us. If you use the form on our website, we receive what you enter: your name, email address, phone number, property type and location, and your message.
When you sign in to the owner portal. You sign in with your email address and a one-time code we send to it. Sign-in is handled by Cloudflare, which confirms your email address and keeps you signed in for a limited time. We use your email address only to confirm your identity and show you the properties you're authorized to see. We never see or store a password.
Property records. For owners we work with, the portal holds the records needed to manage the property and prepare tax information: income and expenses, receipts and invoices you or we upload, mileage logs, and notes. We also record who added or changed each entry and when.
Basic technical information. Our hosting provider may process standard information such as IP address and browser type to deliver the site and protect it from abuse. We do not use advertising or tracking cookies, and we do not run analytics that follow you across other websites.
How we use information
We use information to respond to inquiries and send proposals, provide property management services, keep accurate books and owner statements, prepare year-end tax information, keep the portal secure, and meet our legal and recordkeeping obligations.
How we share information
We do not sell or rent personal information, and we do not share it for advertising.
We share information only with service providers that help us run the business, and only as needed for that purpose: Cloudflare (website hosting, security and portal sign-in), Google (storage of records and receipts), and Formspree (delivering contact form messages to us). We may also share an owner's records with that owner's accountant or tax advisor at the owner's direction, and we may disclose information when required by law.
Owners of the same property can see that property's shared records. One owner never sees another property's records.
How we protect information
The portal is available only to people we have specifically authorized, and every request is checked against a verified sign-in. Our website is served over an encrypted connection, and sign-in sessions expire automatically. No system is perfectly secure, but we take reasonable steps to protect the information we hold.
How long we keep information
We keep property and financial records for as long as we manage the property and afterward for as long as needed for tax and legal purposes, generally at least seven years. We keep inquiry messages as long as they're useful for following up, then delete them.
Your choices
You can ask us what personal information we have about you, ask us to correct it, or ask us to delete it, subject to records we're required to keep. If you no longer need portal access, tell us and we'll remove it.
Children
Our services are meant for property owners and are not directed to children under 16. We do not knowingly collect information from children.
Changes to this policy
If we change this policy, we'll update the date at the top of this page. Significant changes will be communicated to current clients.
